This Privacy Policy describes how personal information is collected, used, and protected in connection with TapTimeClock, our volunteer check-in and check-out service for nonprofit organizations, operated by Andy Dentone, an individual sole proprietor doing business as TapTimeClock ("TapTimeClock," "we," "us," or "our"), including the website at taptimeclock.com, our free build kit, demo bookings, installations, and related communications (together, the "Services").
This policy applies to website visitors, people who request our free kit, people who book a demo, staff of the nonprofit organizations we serve, and volunteers who check in and out through systems we install or host.
Depending on how you interact with the Services, we may collect:
If you provide a phone number, we may contact you at that number for service-related communications, subject to your consent choices and applicable law. Volunteers who opt in at a check-in form receive transactional text messages confirming their check-in and check-out, sent by us or on behalf of the nonprofit organization they serve.
We honor opt-out requests promptly. Reply STOP to any text message to stop receiving messages from that program. See Section 14 for full text message program disclosures.

Our website uses cookies and similar technologies to keep the site working, measure how it is used, and improve our pages and marketing. You can control cookies through your browser settings; disabling cookies may affect some site features. We may use analytics providers that collect usage data on our behalf.
When a nonprofit organization uses TapTimeClock, the volunteer records the system creates (names, contact details, check-in and check-out times, and hour totals) belong to that organization. Records live in a Google Sheet inside the organization's own Google account, and remain under the organization's control if our relationship ends.
For those records we act as a service provider to the organization: we install, maintain, and support the system, and access volunteer data only as needed to do so. Volunteers with questions about how their information is used by a specific organization should contact that organization directly; we will assist our clients in responding to volunteer privacy requests.
Our website and Services are directed to adults and organizations, not to children. We do not knowingly collect personal information from children under 13 through our website. Some nonprofit organizations welcome minor volunteers; in that case the organization is responsible for obtaining any parental consent its programs require, and volunteer records for minors are managed by the organization as described in Section 8. If you believe a child under 13 has provided personal information to us directly, contact us and we will delete it.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
We retain personal information only as long as necessary for the purposes described in this policy, to comply with legal obligations, resolve disputes, and enforce our agreements. As a guide:
Volunteer records held in a client organization's Google Sheet are retained according to that organization's own policies.
We use reasonable administrative, technical, and physical safeguards to protect personal information, including access controls on our systems and reliance on established platforms (Google Workspace, GoHighLevel) for storage and transmission. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Depending on where you live, you may have additional rights under state privacy laws, including the California Consumer Privacy Act as amended (CCPA/CPRA), the Texas Data Privacy and Security Act (TDPSA), and Washington State consumer protection laws. These may include rights to know, access, correct, delete, and port your personal information, and to opt out of targeted advertising and profiling. We honor the rights in Section 13 for all users regardless of state. To raise a state-specific request or question, contact us using the information in Section 18.
Our website and communications may link to third-party sites and services (for example, YouTube videos or Google documentation). We are not responsible for the privacy practices of those third parties; their own policies apply.
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and take any additional steps required by law. Your continued use of the Services after changes take effect means the updated policy applies, to the extent permitted by law.
